Fifth Meeting Report

Discussion Summary : 

Manager’s Updates:  duration 13 min 

•  Sponsoring Manager :The manager in charge of sponsorship is still contacting sponsors; some declined to answer, while others responded, but only BTE was verified as the respondent. The BTE will provide us with a budget of about 2,000DT. 

• Communication manager :47 teams had settled their charges. Each of the 47 teams had their registration verified by the three proctors on the IEEE website. There will be 135 people taking part in the event.  

• Logistics manager : The Xtreme staff form was filled out by exactly ten persons (the logistics manager is currently awaiting approval for two more). Updates were made to all currencies in the Google Drive folder.

 The IEEEXtreme Budget Management : Duration 1hr 10 mins

The budget will be in total 3.350DT.

The OC was given a copy of the Xtreme budget breakdown by the project manager. Depending on whether the OC secured another food-drink sponsor for the occasion, two plans were formed: link.

The budget breakdown was altered, giving certain products (food, trash bags, napkin papers, etc.) priority over others.

The reward price task has been canceled that’s why the OC deleted it from the budget breakdown. 

170 persons in total will attend the event (135 participants plus 6 CS board members, 6 OC members, and 10 staff members).

Suggestions for movies: Three films for the three worlds:

• Western: Good bad ugly 

• Future: Wall-E / Alita Battle Angel

• Black and white: Schindler’s List

or   a film with several universes : Spiderman Across the Spider-verse

• The dress code is casual/professional.

• In order to contact other possible sponsors, the general secretary took the initiative to send emails. It is necessary to phone them if they don’t reply within a day.
